How do I file claims electronically?

You create electronic claims (Disk Image 02/12) the same way you create paper claims (CMS-1500 02/12). In fact, they are both created at the same time. Instead of printing the claims to paper, you Save the claims to a file that is downloaded to your local desktop then uploaded to your clearinghouse.

Here are the the steps to filing claims electronically:

Before you create claims:

  1. Make sure you are signed up with a clearinghouse that accepts print image files and everything is ready foryou to submit claims to them.
  2. Go to Tools > Catalogs > Insurance Payers. For each payer you will bill electronically, set the Default Form Type to Disk Image 02/12. Additionally, if your clearinghouse has provided your with payer IDs for your payers, enter them in the Payer ID field.
  3. For each existing patient you want to bill electronically, go to their Insurance Policies Window and on the Billing tab, make sure the Form Type is set to 'Disk Image 02/12' (future patient's form type will be set according to the Default Form Type for their payer).

Create claims as normal:

  1. Go to Tools > Insurance Manager.
  2. Check the Pre-Billing Scrubber tab for patient missing information and correct as needed (optional).
  3. Click the Claim Registry Tab.
  4. By default claims are created for transactions through the previous day. You may change that date if you choose.
  5. Click the Create New Claims icon to create all new claims.
  6. Click Yes to create the new claims.

Create Disk Image 02/12 File:

  1. Choose Disk Image 02/12 from the Type drop down box.
  2. You will see how many claims are selected and queued.
  3. Click the floppy disk icon to create the disk image file. 
  4. Click Yes to create a new disk Image file. If you click No, the claims will be added to the existing file.
  5. The queued claims will be save to a file named Claims0212.txt.

Download the Claims0212.txt file to the desktop of you local computer:

  1. Keep EMR Datacenter open.
  2. Locate the the MyEMR­® SaaS Cloud Connector on your computer.
  3. Click the first arrow on the left.
  4. The Claims0212.txt file will be downloaded. You should receive the message: 'Download to Windows Desktop complete'.


You will upload the Claims0212.txt file to your clearinghouse from your Windows Desktop.
